Locally Owned & Operated

We live here. That's the whole pitch.

Concierge Event Solutions was founded in 2026 by Renee Okafor, who spent 14 years in Bay Area hotel sales and corporate event management before starting this company. We're not a satellite office of a national firm — we're based here, our vendor relationships are here, and we're the ones who show up on-site.

When a venue cancels three days out or traffic on the 101 threatens your load-in, that's a local phone call, not a ticket into a national call center.

Services

Everything between the venue contract and the closing toast.

Grouped by what actually happens on the ground, in the room, and behind the scenes.

On The Ground

  • Hospitality & onsite staffing

The Program

What attendees actually experience, hour by hour.
  • Meeting & conference management
  • Tours, activities & excursions
  • Team building & CSR
  • Incentive travel program design

The Craft

The details that make it feel designed, not just delivered.
  • Décor & themed events
  • Culinary & dining experiences
  • Entertainment & performances
  • AV & production
How It Works

Three steps, start to finish.

No hidden phase, no black box in the middle — just discovery, planning, and execution.

01

Discovery

You tell us the region, the dates, the headcount, and what success looks like. We ask the questions a general planner wouldn't think to ask about this specific area.

02

Planning & Design

We lock venues, vendors, and transportation, and build the program detail by detail, with a single point of contact on our side throughout.

03

Onsite Execution

Our team is physically present for the program, not coordinating remotely. Problems get solved in real time, on the ground.

Who We Work With

Built around who's booking, not just where.

Five different buyers, five different needs — the same on-the-ground team either way.

Corporate & Enterprise

Internal events and meetings teams planning conferences, leadership meetings, and recognition programs.

Tech & Startup

People and HR teams running SKOs, offsites, and product launches on tech-company timelines.

Incentive Houses & Third-Party Planners

Agencies needing a destination-side execution partner for a NorCal program.

Associations & Tradeshows

Organizers coordinating attendee transportation and offsite programming.

Private & Social

Milestone events and private celebrations needing the same local sourcing and logistics.

Good to Know

Frequently asked questions.

The questions we hear most before a program even gets booked.

What is a DMC?

A destination management company plans and executes the local side of your event: venues, transportation, staffing, vendors, and activities. We’re the team on the ground in the destination itself, not a remote planning service.

How is this different from hiring an event planner?

An event planner typically owns your overall strategy and agenda, sometimes across multiple cities. We own execution within Northern California specifically — the local relationships, permits, and on-the-ground details a planner from outside the region wouldn’t have.

What does it cost?

Most DMCs, us included, charge a management fee as a percentage of your destination-side program spend, plus the pass-through cost of venues and vendors. We’ll give you an exact structure once we know your program.

Tell us the dates, the region, and the headcount. We’ll do the rest.
